b) Personal data are processed for the purpose of receiving, registering, handling and responding to correspondence.

c) The legal basis for processing is the Controller’s legitimate interest pursuant to Article 6(1)(f) GDPR, consisting in ensuring efficient communication and proper documentation of correspondence.

d) Personal data may be disclosed to Microsoft Ireland Operations Ltd. (Microsoft 365), home.pl S.A. (hosting services), and, where necessary, to providers of IT, legal, advisory and telecommunications services, postal operators and courier companies.

e) Personal data are retained depending on the nature of the correspondence, e.g. correspondence relating to claims or complaints – for up to 5 years; other correspondence – for 1 year following closure of the relevant matter.

f) You have the right to request access to your personal data, rectification, erasure, restriction of processing, and to object to processing, except where the processing is necessary for the establishment, exercise or defence of legal claims.

g) You have the right to lodge a complaint with the competent supervisory authority, in particular in the Member State of your habitual residence, place of work or the place of the alleged infringement of the GDPR.

h) Providing personal data is voluntary; however, it is necessary for the registration and handling of correspondence and, where applicable, for dealing with the matter raised. Failure to provide the required data may prevent the Controller from processing your correspondence.
